Voice is a civic engagement app that helps users find representatives, participate in communities, and share civic-related posts and discussions. This Privacy Policy explains what information we collect, how we use it, how we share it, and the choices you have.
1. Information we collect
A. Information you provide
Account & registration
- Username
- Email address (used for login and password reset when provided)
- Password (stored only as a hashed value, never in plain text)
- Display name (if set)
- ZIP code (used for representative lookup and related features)
Profile (optional)
- Avatar image (if uploaded)
- Bio
- City, state, country (if provided)
- Location fields such as latitude/longitude (only if you provide them or enable a feature that supplies them)
- Profile visibility settings (public/private, location visibility)
User-generated content
- Posts (text and optional images/video link, tags, and optional location fields if you include them)
- Comments on posts, polls, petitions, bills, and tasks
- Polls, poll options, and votes
- Petitions and petition signatures
- Saved items (saved posts, bills, etc.)
- Community memberships, follow relationships, volunteer applications, and related activity
- Messages sent through Voice
- Feedback/contact messages you submit
- "Invite/share" emails you choose to send (e.g., a friend's email address)
- "Email to representative" messages you choose to send (message content and your account details needed to send it)
Feedback, invites, and emails to representatives are sent via email and are not stored in our database.
B. Information collected automatically
Device/app data
- Authentication tokens (JWT) stored on your device to keep you signed in
- Limited local preferences (e.g., UI/scroll state) stored on your device
We do not use advertising or third-party tracking SDKs.
We do not use cookies for advertising or cross-site tracking on our website.
Server logs
- Standard server logs may include IP address, timestamps, request paths, and error logs to maintain security and reliability.
C. Location information
Voice may use location-related information in a limited way:
- ZIP code you provide (common)
- Address you enter for representative lookup (used to run the lookup and return results; not stored for unauthenticated lookups)
- Optional device-based location (only if you enable a feature that requests it and you grant permission)
We do not require device location to use the app's core features.
2. How we use your information
We use information to:
- Create and manage accounts and authenticate users
- Provide representative lookup results and civic reference data
- Display your profile and content to you and others based on your privacy settings
- Operate community features (posts, polls, petitions, comments, notifications, saved items, follows)
- Send transactional emails (e.g., password reset, feedback acknowledgements)
- Send emails you request (invites and emails to representatives)
- Maintain safety, prevent abuse, debug issues, and improve reliability
- Comply with legal obligations if required
3. How we share your information
We do not sell your personal information. We do not share personal information for targeted advertising.
We may share information in these situations:
A. With service providers (processors)
- Hosting/Infrastructure: Our servers and database run on cloud infrastructure (e.g., Google Cloud).
- Email delivery: When you trigger emails (password reset, invite, feedback acknowledgements, or "email to representative"), your email content and recipient information are processed by our email provider (e.g., Gmail/SMTP).
B. With representatives (when you choose)
- If you use "email to representative," we send your message to the representative's email address and may include your account details needed for the message (such as your name/username, email if available, and ZIP code).
C. Public and community sharing
- If your profile is public or you post publicly in communities, other users may see your display name, username, avatar (if set), and content you post. If you choose a private setting, we restrict visibility based on the app's controls.
D. Legal/safety
- We may disclose information if required by law, legal process, or to protect the safety, rights, and integrity of users, the public, or our services.
4. Data retention
- Account data: For as long as your account is active, and as needed to provide services.
- User content: Until you delete it (where supported) or delete your account, subject to legitimate operational needs.
- Backups: We maintain backups for reliability and recovery. Backup copies may persist for a limited time even after deletion.
- Server logs: Retained for a limited period for security and troubleshooting.
Account deletion: Email teamvoiceco@gmail.com with your username and request deletion. We will delete your account and associated personal information, subject to legal and operational requirements.
5. Security
We use reasonable security measures designed to protect your information, including:
- HTTPS encryption in transit (where available)
- Passwords stored as cryptographic hashes (not plaintext)
- Access controls and restricted infrastructure access
- Routine monitoring and backups for recovery
No system is 100% secure, but we work to protect your information.
6. Your choices and controls
Depending on your features/settings, you may be able to:
- Update your profile information
- Control profile visibility and location visibility
- Delete content you posted. Some content can be deleted in-app; for anything else, contact us.
- Request account deletion by emailing teamvoiceco@gmail.com
- Revoke permissions (camera/photos/location) in iOS Settings at any time
- Opt out of non-essential emails (when applicable). Some transactional emails (like password reset) may still be sent when needed.
7. Children's privacy
Voice is not intended for children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, contact us and we will take steps to remove it.
8. International users
If you access Voice from outside the United States, your information may be processed in the United States or other locations where our service providers operate.
9. Changes to this policy
We may update this Privacy Policy from time to time. We will update the "Effective date" above when changes are made. Continued use of the service after changes means you accept the updated policy.
